Because Notion is highly customizable, it’s a great place to keep all your stash data exactly the way you want it. There are countless ways to tweak your database - far more than we could list here! Below are the simplest options to get you started, but think of this as just a starting point.
Your Craft Stash Manager can hold a ton of information, but you may not need everything.
We’ve added some sample entries to show you how the database works and what it can do for you. Feel free to delete those examples whenever you’re ready.
The system automatically saves everything you do, so there are no SAVE buttons to be found. Click away from the pop-up window you are working on to return to the underlying pages.

The different pieces of information you record about a ball or skein of yarn, such as name, weight, shade, cost etc., are a property of the yarn. Similarly, needle size, using different notations (metric, US, UK etc) are all properties of the needle or hook.

You can hide a property and it will no longer show when you create a new item using the template. It will not be deleted, so is can be to retrieved later, if required.
There are several ways to do this, but here are the two simplest:
(1) click on the relevant button (Add new…) to bring up a new item page (yarn, needle, hook, pattern, WiP). Click on the name of the property you no longer wish to see each time you add a new yarn. A sub-menu will pop-up where you can choose the Property visibility: Always show | Hide when empty | Always Hide. You can change this option to hide or unhide the property.
OR
(2) open the relevant stash database. In any of the tabs, look at the top right is a blue button with New written on it. To the immediate left of this blue button is an icon :sliders-horizontal: (sliders). Click this, then choose Property visibility, then use the on/off toggle ( :showhidetoggle:) to hide or view a property.
You may find you do not wish to record all the details available. You might even want new ones (more on this below). If you 100% know you will never need to record the weight of a ball or skein of yarn in grams, for example, then you can delete this property. However, if you would rather hide the property, just in case you need it later, you can do that too (see above).
Click on the relevant button (Add new…) to bring up a new item page (yarn, needle, hook, pattern, WiP). Click on the name of the property you no longer wish to see each time you add a new item. A sub-menu will pop-up with the option to Delete this property. Clicking this option will remove the property from your template page.
If you deleted the property and decide you want it back, you can within a short period of time (they will be removed after 30 days). You will have to open the main database to do this. On opening this you will see your items presented as a table. Top right is a blue button with New written on it. To the immediate left of this blue button is an icon :sliders-horizontal: (sliders).. Click this, then choose Edit properties. Scroll down the list of properties and at the bottom, there is a link to Deleted Properties. Click on this and you can use the return to database arrow (:undoarrow:) to return the property to the template.
If you find there is something else you wish to record in your Craft Stash Manager, then it’s easy to add.
(1) click on the relevant button (Add new…) to bring up a new item page (yarn, needle, hook, pattern, WiP). On the Content tab, scroll to the bottom of the list of properties where you wish to add a new property. Click Add property. First choose the type of property (text, number etc), then give it a name, and change any other options you wish.
OR
(2) open the relevant stash database. Top right is a blue button with New written on it. Click this and then follow the instructions in (1) above.
You can also change the order the properties are displayed, both in the page template and in the main stash database table.
Page template
With the Add New template open, click on the 6 dot grab handle to the left of the property name you wish to move, and drag up or down the list.
Database table
Open the relevant stash database.
Click on the property heading you wish to move and drag it to the right or left.

Although you chose the metric you preferred when purchasing Craft Stash Manager, the Yarn and Needles & Hooks databases have options for how to record yarn weight (grams, ounces), lengths (cm, inches) and various regional variations in how needles sizes are measured (Metric, US, Japan, UK). The options are hidden and simply need to be revealed. Use the hide/unhide options above to hide or unhide any of the properties.
To add a completely new property, follow the instructions above.

The Yarn database has the opportunity to add the cost of the yarn in your stash. It is defaulted to the GBP currency option, but changing it is easy.
Open the Yarn stash database. Top right is a blue button with New written on it. o the immediate left of this blue button is an icon :sliders-horizontal: (sliders). Click this, then choose Edit properties. Scroll down until you see the Cost of yarn property. Click or select the name to open the next menu. Under Number format you will see Pound. Click this and then choose your preferred currency from the options provided.
Repeat this for the relevant Total Cost of Yarn in Stash property, assuming you wish to see the total cost of your stash (g or oz) in your database.

You can also really make the database feel like your own by changing the colours, icons and the page covers.
The text and background of the blocks of text can be changed in most cases. Select the text you wish to change. Alongside the text, or above the keyboard (mobile devices), a menu will appear with a range of options.

The first two icons are the Notion AI feature. If you are on the standard (free) option, there are a limited number of times you can use this feature. Once they are used up, you will have to pay to continue using them. The next two (Comment and suggestion) are useful when databases are shared with others and comments and suggested changes can be sent back and forth between users.
The next feature allows you to change the type of block, for example, plain text, heading, a to-do list, bulleted list and so on.
And then we come to all the options to change the format of the current text you have selected
B - toggle bold on/off
I - toggle italics on/off
U - toggle underline on/off
S - toggle strikethrough on/off
</> - write some code
√x - write an equation and have it highlighted as such
:linkicon:- paste a link to a webpage or another page within the database
:font: change the font colour and the background colour
If you would prefer to see a different icon (e.g. 🧶 ) anywhere in your database, simply click on the icon and choose from the options provided. If you have your own emojis or icons, you can also upload them by clicking on the ➕ icon on the bottom right of the selection menu.
The page cover (or header) can also be changed. Above the page title and either above or below the page icon (depending on the device you are using), there is an option to change the cover. Hover over this area and it will appear. If the page already has a cover, then an option to change it will appear around the top right of the image.
You then have the option to choose an image from the provided gallery, upload your own, link to an image or use Unsplash to find an image.

Sometimes you will start to create a new entry and then discover you already have it in your database. Perhaps you gave the item away or sold it after a clear out.
This is up to you. You might want to keep the entry and add details in the main body about the project you used it for. To keep things correct, just change numbers in the relevant properties, e.g.
Yarn
Number of full balls in stash: record the number of full balls and/or skeins you have in your stash.
Weight of part ball(s) (g): Weight of the part ball(s) in grams. This is a number field so no need to add the ‘g’, just the weight.
Weight of part ball(s) (oz): Weight of the part ball(s) in ounces. This is a number field so no need to add the ‘oz’, just the weight.
Needles & hooks
Number of sets in stash: record the total number of needle sets or hooks in your stash.
If you no longer need the record it’s easy to delete. Go to the relevant stash database, find the entry you wish to remove, hover over the entry on the table until you see these options on the far left:

Click the 6 dots, then Delete or Move to Trash.
